Job Purpose:

Assist the Property Management department with the whole life cycle of the office Leasing Process at Ubora Tower. This includes the marketing of the office space (to include Social Media campaigns), providing options to prospective tenants, conducting viewings with prospective tenants as well as assisting with the coordination between Al Tayer Group departments to ensure timely execution of the Lease. Formulate, lead and execute Tenant Engagement activities at Ubora Tower, as well as assisting in the whole life cycle of the Lease Renewal Process.

 


Responsibilities :


• To provide administrative support to the Property Manager to ensure smooth running of the day-to-day operations of the Department.


• Assist in the marketing of the office space by coordinating with internal and external agencies/parties.


• Formulate and execute a Social Media Campaign.


• Coordinate with external real estate agents to ensure a good flow of information.


• To conduct viewings of the office space with a high level of knowledge of the building..


• Ensure effective coordination with the Legal, Audit and Finance teams to facilitate timely transactions on new leases


• Manage efficient use of Company’s property management system, continuously review and improve on leasing systems, procedures and ensure efficient implementation  to ensure 100% accuracy of lease documentation,


• Assists in all aspects of the Lease Renewal Process from renewal notices to execution of the Lease and to ensure all documentation is sent/ received on time with 100% accuracy.


• Ensure all the Leases are registered with Ejari (RERA) as per the Law and ensure the payments are recovered/ paid associated to the registration process.


• Collect/pay and process the rental and other payments from tenants/land lords as per the terms of the lease agreements.


• Ensure the Lease information is posted timely and accurately in JDE & Ejari System to execute the tenancy contract on time as per the law.


• Maintain the tenant files ensuring relevant documents and information is filed and ensures it is always up to date


• Conceive and execute a Tenant Engagement Strategy, for example Wellness, Sustainability, Art Programmes.


• Manage communications channels to the Tenants.



Experience and Qualification:


• Graduate in any discipline with around 2 to 4 years of relevant experience in a customer-facing role in marketing, events or real estate.


• Highly organized, able to multi-task, with an eye for details


• A creative thinker who can problem solve effectively


• Computer literacy


• Excellent Communication and Interpersonal skills
